A purchase order (PO) in Zentrix Cloud is the document that connects your restocking plan to the supplier and to your inventory. This page shows how to build a PO from items in your catalog, send it to a supplier, record the delivery, and match the supplier invoice so your branch stock and accounting stay in sync.

Create a new purchase order

Open the Procurement module and select Purchase Orders. Click the option to add a new order, then choose the branch and supplier. Add the products you want to restock from your catalog. Enter quantities and any agreed unit prices. Save the PO as a draft while you review it.

Send the PO to the supplier

When the line items and totals are correct, change the status to sent or share the PO using the in-app options. The supplier receives the order details so they can prepare the shipment. The PO status now reflects that it is with the supplier.

Receive the goods

When the shipment arrives, open the PO and start the receiving workflow. Enter the actual quantities delivered for each line item. If some items are missing or damaged, record the received quantity accordingly. Once you confirm receipt, Zentrix Cloud automatically updates the Products inventory for that branch.

Reconcile the supplier invoice

After receiving the goods, attach or reference the supplier invoice against the PO. Compare the billed quantities and prices to what you received. If everything matches, mark the PO as reconciled. If there are discrepancies, note them in the order record before finalizing.
Exact button labels and status names may vary slightly in your Zentrix Cloud interface. Follow the on-screen prompts in the Procurement module.
Receiving goods updates stock immediately. Make sure you are working in the correct branch before confirming receipt, especially if you manage multiple locations.
