# Replenishment: Automate Purchase Orders in Zentrix

> Zentrix Cloud monitors stock velocity and surfaces replenishment suggestions so you can create purchase orders before bestsellers sell out.

Zentrix Cloud monitors your stock levels and surfaces replenishment suggestions so you can reorder bestsellers before they run low — without manually checking every product. Instead of reacting to stockouts after they happen, smart replenishment helps you stay ahead of demand and keep shelves consistently stocked.

## How replenishment works

Zentrix tracks sales velocity and compares it against current stock levels for every product at every branch. When a product approaches its minimum stock threshold, it automatically appears in your **Replenishment** queue. You see the product name, current stock, the branch affected, and a suggested reorder quantity based on recent sales patterns. No manual monitoring is needed — the queue updates in real time as stock moves.

## Creating a purchase order

When you are ready to restock, follow these steps:

1. Go to **Operations > Replenishment** to open your replenishment queue.
2. Review the suggested items and quantities. You can sort by urgency, branch, or supplier.
3. Select a supplier from your saved supplier list, then adjust quantities for any items if your preferred order size differs from the suggestion.
4. Click **Create Purchase Order** to confirm. Zentrix generates the order and logs it under **Operations > Purchase Orders**, where you can track its status from draft through to received.
5. When your stock delivery arrives, open the purchase order under **Operations > Purchase Orders**, mark it as **Received**, and confirm quantities using the mobile stockroom to update your inventory immediately.

## Setting reorder points

To get the most out of smart replenishment, configure reorder settings for each product. Navigate to **Inventory > Products > \[Product] > Stock Settings** and set:

* **Minimum stock level** — the quantity that triggers a replenishment alert.
* **Preferred reorder quantity** — the amount Zentrix suggests ordering each time the product falls below the minimum.

You can set these values per branch, so a high-traffic location can have a higher reorder point than a quieter one.

## Managing your supplier list

Your supplier list is the address book Zentrix Cloud uses when generating purchase orders. To add or edit a supplier, go to **Operations > Suppliers** and click **Add Supplier**. Enter the supplier's name, contact email, and any reference codes they use for your products. Once a supplier is saved, they are available to select whenever you create a purchase order.

  Reviewing your replenishment queue once a week reduces the risk of stockouts on your top-selling lines. A short weekly check is usually enough to keep orders on time and shelves full.
